Overarching themes:

It's more work to do events that are only for the Awesome Foundation. It's easier to do events that are co-branded (especially people who already have an audience and a format).

Give yourself enough time to promote things.

Why do you have events? Publicizing the Awesome Foundation or publicizing the grantee? Or replicating by having ideas at the event? Getting more applications.

Doing things to drag people out. Very pro free beer.

Recruiting trustees who have resources like connections to press/event space.

Ideas: Art Galleries, farmers markets, museums,
What's the personality of an event?
Talk to Keith about awesome camp.

Documenting events wiki - a wiki with event ideas, a page per event, collateral (posters), who came, where it was held.

Promoting other awesome events, so when you do have an event everyone else promotes yours.

If moving venues, you can do promotion beforehand. Partnering with vendors to get free frozen yogurt.

What if you pay one of the trustees to plan?

Boston doubled because there was enough to support.

Membership program? "Patron of Awesome" - Awesome Tax? Awesome member card. Awesome businesses that give a discount.

Sydney- Awesome Soup (partnered with Pausible) and sold tickets to an ideas festival and selected grants and served soup. Sunday soup network.
= For Deans =
As with trustees, almost all of your special options are accessible through “Dashboard”, which should be an option on your top navbar when you log in to the site. Once there, you should see a bunch of options on the left.

=== Getting your chapter on the site ===
If your chapter is not listed on the site and you would like it to be, please email webmaster@awesomefoundation.org and we'll get you all sorted.

=== Getting a List of Finalists ===
If your whole chapter is viewing submissions through the website’s system, you can use the system to automatically generate a shortlist for deliberation.In designing this system, we took into account the variety of methodologies used by different chapters and tried to keep the automation very straightforward. Basically, as a trustee reads through applications, they can mark the ones they like as “Awesome”. They can view their own shortlist of “Awesome” projects at any time.If you go to “Dashboard” and look in your Chapter menu on the left side navigation, you’ll find an option called “Finalists”. This is a table of all the projects that have been marked as “Awesome” by ''anyone''''' '''in your chapter, ordered by how many “Awesome” votes each got. You can also filter this list by date of submission.

=== Selecting a Winner ===
Once an application has been selected as the winner, you may designate it as such by clicking on the "winner" button on the dashboard. This will automatically set the funding date to the current date and will make the project appear on your chapter's page. If you would like to edit the description that shows up on the page, or change the funding date, click on the "edit project" link at the bottom of the project description. At the bottom of the form, you will see two fields: one for the funding date, and one for the funded description. The funded description was originally populated from the main project description, but we recommend that you change this and keep it updated as the project progresses.

=== Changing your Trustees List ===
Because we imported the entire database from the old site, the trustees that currently appear on your chapter page are almost certainly accounts that should be deleted.

'''To create new accounts for trustees:'''
Go to “Dashboard” and you should see an option on your left sidebar menu to “Invite a Trustee”. Select the correct chapter and fill out the rest of the information and that trustee will receive an email invite to join. Once they accept the invitation, they will automatically appear as a trustee on the Chapters page and have the ability to view all applications for your chapter.

'''To remove a trustee:'''Go to “Dashboard” and click on “Members” on your left sidebar menu. From there, find the trustee you want to remove and hit “remove”.

'''Promoting a trustee to Dean:''' Currently, this is broken! Please email webmaster@awesomefoundation.org if you need to do this. Sorry!!

'''Changing a Trustee’s email:'''If one of your trustees wants to change the email address they log in with, go to “Dashboard” and click on “Members” on your left sidebar menu. From there, find the trustee you want to change the information for and click “edit” to change their email address.

=== Updating Chapter Profile ===
'''RSS Feed URL''' This is where you input the feed for your blog so that new updates are properly displayed

'''Extra Questions''' You can now append up to 3 extra questions to the application for your chapter! These will ONLY appear when the applicant selects your chapter from the dropdown menu.

=== Loading in Past Winners ===
There are two ways you can load your past winning projects into the system.1) '''Find the project in the database '''- Figure out the possible date range for when the project was submitted, put that into your dashboard, and search each page for the name of the project. Once you find it, click the “Winner for your chapter” button as usual and it should show up on your chapter page. From there, click on “edit the project” and add photos, edit the description, and '''most importantly''', change the funding date to the correct one so that your projects are in the correct chronological order.2) '''Add the project manually '''- Click on “Apply” and fill out the project form. Put the winning fellow’s name in “Name” but use your own email so that it doesn’t send them a notification. The only field that is displayed on the project’s page is the Project Details, so you can just use placeholder text for the other two fields. Make sure to set the correct funding date and add pictures if you have them.

=== Uploading Project Images ===
To upload images for a project, navigate to the project and click “Edit Project” on the top right of the project’s page. Then, scroll down to “Upload Images for your Project”, which is usually the second-to-last question on the form.The website takes most normal image filetypes: .jpg, .png, and .gif. Images will be automatically resized or cropped to fit inside the frame, which is 940x470. Using images that are as close to this size as possible will yield best results; in particular, very tall vertical images will be poorly cropped.Each image can have multiple images associated with it: just upload each one with the “Choose file” button, then hit “Save” at the bottom. The image on top will be the one that appears everywhere on the site and appears first on the project’s page. If you want, you can return to editing the project to rearrange them by dragging and dropping to the order you prefer. I would not recommend adding more than 5 images.
The Austin chapter really liked the SF postcards and some of the previous business card designs, so we made multiple versions so we could mix and match fronts and backs using both high-quality Moo prints and less-expensive Vistaprint prints. [http://wiki.awesomestudies.org/images/e/ec/AFAustinBusinessCardsPreview.pdf Here's a PDF preview of the six card designs.] We've provided the original Illustrator files in case other chapters want to just change the chapter location and URL to get started on their own. If you don't have an artist you work with, we hired local Austin artist [http://ahernpaul.com/ Paul Ahern] to make these for us.

== Ideas ==
* An aggregation of "projects we love" a la Kickstarter
** Boston has a tumblr of awesome projects, could become a collaborative project between chapters
** People like this
** Erhardt will own looking into this
* What if trustees could "like" projects on the AF site and go through periodically and highlight the top choices?

* Sending out a template to winner and runners up with information and resources and connections to network
** If we take it upon ourselves, we may lapse

* International awesome hours
* Facebook group for grantees

* Awesome event calendar

=== Awesome Hours ===
* Not everyone is tech-savvy, we should think more about how to support people especially with more chapters starting in developing areas
* Awesome Hours might be a really good solution to this
** Boston has these, just gets together and helps people workshop ideas
** Past winners have come as well, which is nice
** Seattle wants to start doing these
** Important to keep a friendly, open environment
* Overall people think Awesome Hours has the potential to grow into something really big
* This is ''community'' and helps ideas grow and spread, then we just have to be catalysts

=== Grantee Contracts ===
* Generally, chapters do not use contracts in the spirit of "no strings attached" giving
* Prefer personal support of/enabling grantees to ensure that grantees follow-through or at least feel comfortable reaching out for help or guidance
** Halifax - "Our approach has been to offer as much support as possible (media/social media/manpower) to break down any barriers to a given activity happening, and in the process, almost ensuring it happens due to the number of folks involved. We also try to have the winner carry out the activity within two months of the grant cash being awarded."
** Boston - "For the most part, people who receive support and validation will do BACK FLIPS to deliver. I think that for most of us, the risk and mystery of it all is part what makes things so fun. (Will they? Won't they? What will the end result look like?) If you go into deliberation with a spirit of trust, the fun of the process takes over and the results produced are much better than any contract could define."
** Ottawa - "Like others who have weighed in, I believe the "no strings attached" is a core element of the model. We even go as far in Ottawa as to restrain ourselves from suggesting to recipients that their projects might be "even better if…" -- although we do offer whatever support we can to help them deliver." Only one of 24 grants has ever "run off into the sunset with the cash"

=== Liaison/Storyteller Approach ===
* Model utilized by Seattle Chapter

* Whichever trustee is most excited about a chosen project becomes the point of contact for that grantee. They inform the grantee of their award, interview them and write a short blog post for the announcement and are generally helpful (but not overbearing) with mentorship and connections to other resources.

* We believe this personal touch adds to the accountability one would want from a contract. I hope we will do post-project interviews in the future as a way to guage and share our impact. To be clear, this isn't the grantee reporting to us. Rather, we are taking the responsibility and making the effort to share their stories. In this way, what is "reporting" in traditional grantmaking becomes an additional service we are providing that helps build the relationship.

== Willow's notes ==
Most conversation fell into topics of:
*Continued engagement
*Connecting to more than just winners
*Cross pollination across and within chapters
*Promotion of projects and individuals via the chapter
*Providing mentorship and connections
*Encouraging propagation of instructions for creation

== Notes ==

Email list at awesome-web@groups.google.com

History of the website:
* Knight Grant enables hiring a firm to build new site
* Christina and Jesse wrote an RFP
* thoughtbot won the contract

=== Open Source ===

Goal has always been to publish code open source. We'll probably AGPL license it, with IHAS as the rightsholder (jcn to confirm).

=== Tools ===

Bug Tracking Options
* Github issues
* Asana
* Pivotal Tracker
* Better Means

We'll start with Github issues and see when it starts to break down. Fewer tools better.

=== Philosophy ===

* Focus is on people and projects.
* Let chapters keep their autonomy.
* We're not trying to build a blogging engine.

General Process:
* Please jump straight in if you're making some small tweaks!
* Do some pre-planning on the list before you jump in to do anything huge
* People should make changes and test against their own heroku apps
* Send pull requests once your feature is ready
* The main staging app won't be used by everyone, just to test pre-prod push

=== Priorities ===

This is a highly incomplete list, and wasn't worth discussing in depth in person.

Some things to work on:
* All Project List - Aggregate funded projects across all chapters
* Funded Description - Don't just re-use the description field for the project, need a separate "for the web" description
* Project info / metadata

* All for *.xml, *.csv, *.rss etc endings to pages to make it easier to consume data

==Importance of being prepared==
Submitting the rank a few days before the meeting so the dean has a chance to go through it. Can't just do it on the way to the meeting.

Ranking top three via website.

Lots of ownership felt for each project initially. Now less of an issue with voting

Having submissions organized nicely. Nice collected PDF to look at. Bring those notes to the meeting.

You commit to be to the meeting. No commitment beyond showing up and giving money. Don't have something ''immediately'' after the gathering so you can languish if you like.

==Voting while socializing==
Some people mix it up, drink and eat and discuss. 30 minutes of process, 2 hours of total time.

Some groups just plow through it, don't socialize.

Most of the parties are planned at the relaxed social time.

"reckless granters" - drunken toothfairy

Less distracting to meet in a conference room rather than a bar. Control over your environment. Gallery or hackerspace or somewhat.

Having deeper connections means the group is also stronger to further independent goals.

==Bringing in prior favorites==
Inviting nominees when the awesome is low.

Trying to have a system was cumbersome.

Things that were top ranking get carried forward.

Contact them before moving forward with it.

==Engaging with hopefuls==
Some people call

Some people come pitch. Use whatever format you like.

Important that they come and connect with us and each other. Then the trustees have access to awesome up and coming folk, too.

Do something that helps them stick in your brain.

List top three on blog, not just winner. Gives an endorsement of sorts.

Awesome hours as a way to help hopefuls give a good presentation (this is a debated topic)

Tag things with Awesome stickers.

Banner for sites if they like, link back to blog entry about their participation/win for legitimacy

==Random Bits==
Legality issues

Carry over list added back in

Not being overly attached to a thing. Don't have to discuss every single one.

Follow up after receiving a submission inviting them to party.

International Awesome Day
City Day

Promoting other awesome events, so when you do have an event everyone else promotes yours.

If moving venues, you can do promotion beforehand. Partnering with vendors to get free frozen yogurt.

What if you pay one of the trustees to plan?

Boston doubled because there was enough to support.

Membership program? "Patron of Awesome" - Awesome Tax? Awesome member card. Awesome businesses that give a discount.

Sydney- Awesome Soup (partnered with Pausible) and sold tickets to an ideas festival and selected grants and served soup. Sunday soup network.

awesome bank accounts?

More notes from Greg!
== Things grantees might need ==
* Timing is an issue too - support/engagement during project vs. help afterwards
* Coaching on ideas/communication
* Connecting people to a network
* Global network of recipients, could make it an even bigger opportunity than $1000
* Initially in NY, just helped by throwing a big party and trying to get press for people with good ideas
** $1000 is great, but trustees' connections can be a much bigger contribution
* Pittsburgh added a question asking if it would be ok to promote a project, even if not funded, or refer to other organizations
** So far everyone says yes

== Ideas ==

* International awesome hours
* Facebook group for grantees

* Awesome event calendar

=== Awesome Hours ===

=== Grantee Contracts ===

=== Liaison/Storyteller Approach ===

== Willow's notes ==
Most conversation fell into topics of:
*Continued engagement
*Connecting to more than just winners
*Cross pollination across and within chapters
*Promotion of projects and individuals via the chapter
*Providing mentorship and connections
*Encouraging propagation of instructions for creation

Hey Nikki, I see that you moved the links that I added to the main page to some sub-page. I recommend filling the main page with pointers to pages that people can edit otherwise people might never get past the homepage.--[[User:Lansey|Lansey]] 10:48, 23 July 2012 (PDT)
:Yes, that's more or less intentional because the wiki isn't really in a state where it's ready for people to just jump on board and started adding stuff everywhere. People who know their way around a wiki and are unlikely to break things or create confusing/messy structures will be fine... everyone else can wait a few days until I get things a little more cleaned up. This was originally only meant to document the summit, so it's not structured to handle anything beyond that.

== Notes ==

Email list at awesome-web@groups.google.com

History of the website:
* Knight Grant enables hiring a firm to build new site
* Christina and Jesse wrote an RFP
* thoughtbot won the contract

=== Open Source ===

Goal has always been to publish code open source. We'll probably AGPL license it, with IHAS as the rightsholder (jcn to confirm).

=== Tools ===

Bug Tracking Options
* Github issues
* Asana
* Pivotal Tracker
* Better Means

We'll start with Github issues and see when it starts to break down. Fewer tools better.

=== Philosophy ===

=== Priorities ===

This is a highly incomplete list, and wasn't worth discussing in depth in person.

Some things to work on:
* All Project List - Aggregate funded projects across all chapters
* Funded Description - Don't just re-use the description field for the project, need a separate "for the web" description
* Project info / metadata

* All for *.xml, *.csv, *.rss etc endings to pages to make it easier to consume data

== Spreading the word ==
* Awesome museum exhibits
* Let's become The Example of how to do micro-funding and citizen philanthropy
* Foundations and institutions think we're cool already, we can leverage that
** But we should not worry about seeking those out, just make ourselves available
* Let's have an international holiday (suggestions: 4/4, 4/29, founding date of Boston chapter, something involving 8?)

== Collaborations ==
* A team-up of something like the Awesome Foundation and the Gates Foundation
** Ellen and Nikki know people at the Gates Foundation
** What if the GF paid us to go places and do things?
** What if we just did that without the GF?
* certified Awesome stamps for venues and businesses that supports us

== Programs ==
* What if we had full-time Awesome Fellows whose job was to help people?
* Annual international Awesome Summit, and then regional summits
** next year's summit should have Awesome Awards
** and sharing craziest grants/applications
* Bigger events, like the Awesome Camping Trip
* Workshops and techniques and office hours to help people come up with better awesome ideas
** less self-serving project proposals
** maybe guest trustee programs will help, since people will have a better idea of how to do things

== Long-term thinking ==
* Willow: let's not grow out of our niche, because we're filling a space that needs to be filled
* We have a responsibility and a opportunity to build this way of thinking in our culture
** it's success if it replicated and spread and copied
* What's the role of artificially growing things and cultivating chapters instead of letting it grow organically?
** AF Rio was cultivated by Christina and Lee Sean being there simultaneously, inviting a bunch of people to dinner, and talking about Awesome
** It would be nice to do that under IHAS
==Toronto Process==
1. Rank top 5-10 on spreadsheet
:Submissions not voted on are killed
2. Elimination Round: People call for submissions low on the list to be killed (called falling on your sword)
:Majority vote to kill
:Down to under 10 at this stage
:Recap list in spreadsheet
3. Clarification Round
:Anyone ask for clarity about a submission
:People can "make a case" for a favorite
4. Final Vote
:Conducted on a spreadsheet
:Rank best
:Top 3 emerge
5. Discussion _if needed_
6. Selection : will anyone quit if we choose this project?

==Importance of being prepared==

==Voting while socializing==

==Bringing in prior favorites==
Inviting nominees when the awesome is low.

Trying to have a system was cumbersome.

Things that were top ranking get carried forward.

Contact them before moving forward with it.

==Engaging with hopefuls==

==Random Bits==
Legality issues

Carry over list added back in

Not being overly attached to a thing. Don't have to discuss every single one.

Follow up after receiving a submission inviting them to party.

http://www.wikipedia.org/ wikipedia

== Panel Q&A ==
=== Shared values ===
* Reaching shared/values principles, how did each of your groups do that?

In the Sunday Soup community, there aren't any formally agreed upon values - they are all driven by necessity. Values become articulated around needs, so when everyone sees the problem the same way they get similar values. It's become more of a problem in the Occupy movement, where disagreements about values have undermined the community. It's not always easy to get everyone to agree, and you can't make values that are inclusive of all points of view.

=== Organizational structure ===
* What role do leaders play in this process? What do leaders look like? What is the importance of shared cultural background?
* I think there is value to having some sort of foundational organizational structure - what do you think about that? Social capital is great, but so is financial capital.

Organizational leadership is complicated, and there's always the danger of having an organization turn into an extension of a really charistmatic leader. Being decentralized also doesn't mean that traditionally charismatic leaders won't arise and start to bend the culture, but if the organization decides as a group to fight that, it can help. The team needs to take initiative for stepping outside of that comfort zone if they want to have an actually innovative structure, although a lot of organizational structure is an open question.

=== Branding ===
* What is the value of the brand, and how important is that to recruiting new people to the movement?
* How does belonging to open brands affect people and change the experience from doing the thing without putting the brand on it?

Open branding allows people to have more ownership, and branding in general gives people something to identify with, and to better understand how to get involved. Putting a brand on an activity amplifies beyond the impact of the activity without the brand, because it creates a sense of identity and gives people something to be proud of (ex: the Nobel Prize is more than just money).

=== Project specifics ===
* Have we reached Peak Occupy? What's next? Is the narrative going to continue? Is the lack of coherent leadership bringing down the movement?

We don't necessarily know what the future of Occupy is going to be, but there are groups of people who have splintered off and are continuing to work on the problem.

* Mako, do you have examples of free software/OSS projects that petered out and were reborn?

Inkscape has died three times, with a name change each time. Some of the problems were around leadership, sometimes political and social disagreements. There were lots of people who thought that a good vector drawing program was a good idea, but disagreement on parts of that and variation in the vibrancy of the community led to some temporary deaths of the project.

* In the AF, we have a gap between Kitten Voltron and this amorphous blob of rogue funders... there is a balance between stepping in to help provide guidance and support without being an official structure, how can organizations better navigate that transition?

It's better to do less and not burn yourself out, because it's a huge problem. Taking your time and scoping back is worth it.

Promoting other awesome events, so when you do have an event everyone else promotes yours.

If moving venues, you can do promotion beforehand. Partnering with vendors to get free frozen yogurt.

awesome bank accounts?

If your chapter is not listed on the site and you would like it to be, please email webmaster@awesomefoundation.org and we'll get you all sorted.

=== Getting a List of Finalists ===

=== Selecting a Winner ===

=== Updating Chapter Profile ===

=== Uploading Project Images ===
== Q&A ==
=== Culture ===
* What can we do to build awesomeness into organizations that don't have it baked in from the start?
* What about organizations working on very serious issues? Can you work playfulness into that?

You can use competition to convince organizations - issue a challenge to them to do specific Awesome things (like opening up data to developers). And all organizations should have a sense of playfulness baked in, no matter how serious their cause. There is a tension between serious and playful though. Nonprofits push back against getting donations from people who don't care; they really want people to engage with their cause and be actively choosing to contribute.

=== Narratives and storytelling ===
There is a notion that narrative helps people relate to a cause - the idea of connecting hunger and *The Hunger Games* or creating a supervillain to personify global warming. Building stories gives people a meaningful connection to a cause.
You can also find the external session on [[Giving More Than Money]].
http://www.wikipedia.org/ wikipedia

== Things we do already ==
* Using trustees and past winners as a resource for grantees
** Grantee-alumni relationships and mentoring
** People are always super excited to do that, past grantees have always opted-in
* AF NY has had people opt-in to stay connected, but other people just disappear

* A lot of grantees aren't as tech-savvy as trustees, just telling them about Kickstarter and such is useful

* Is it a good idea to say up front what resources are available? Could it become an obligation?
** Not in SF, "they drive the show", "we're here to help" but they are under no obligation

* Difference between local support and global support
** Adopting ideas from other chapters, if it's easy to re-create or share (so re-creating the results of a past project from another chapter)

* Toronto does a lot of networking and peer-to-peer connections

* Managing our involvement
** Toronto, for example, doesn't want to overburden themselves
** Seattle does it on an opt-in, one trustee does it for each grant, basis to provide support that is tailored to the project while keeping the burden on trustees low

=== Alternative practices ===
* Does anyone do a thing where they select a runner-up and work with them in some way?
** In Boston, there is a shortlist every month and often times there is a person who just needs a connection or a Kickstarter or something
** SF does the same
* Give them feedback, advice, connections

* Spreading ideas from other places, looking at other chapters
** SF finds inspiring projects from the general world and passes them around the list

* Does anyone give advice or guidance/feedback to ideas?
** Is it right to tell them how to change their ideas?
** Difference between manipulating projects and trying to give useful feedback
** Does that make people feel obligated to do things?
* Difference between doing this with grantees vs. people who don't get funded
* The feedback can be really helpful to people
* There is a big difference between sharing the opinions of an individual vs. sharing opinions as a chapter

== Things grantees might need ==
* Timing is an issue too - support/engagement during project vs. help afterwards
* Coaching on ideas/communication

== Ideas ==

* International awesome hours
* Facebook group for grantees

* Awesome event calendar

=== Awesome Hours ===

=== Grantee Contracts ===

=== Liaison/Storyteller Approach ===

== Willow's notes ==
Most conversation fell into topics of:
*Continued engagement
*Connecting to more than just winners
*Cross pollination across and within chapters
*Promotion of projects and individuals via the chapter
*Providing mentorship and connections
*Encouraging propagation of instructions for creation
